RISK MANAGEMENT POLICY
WYSA Risk Management Policy
Under this policy, any coach, assistant coach, team trainer, team manager, referee, club or district board member, WYSA administrator, WYSA Board of Directors member, independent contractor, or any other individual seeking affiliation with WYSA or WYSA Affiliated Clubs who has direct or indirect contact or influence on a youth player is required by WYSA to complete a Risk Management Disclosure, every two years through WYSA’s online risk management system. Each Club has a responsibility to ensure compliance across their organization.
The cost of the background check is $15, and each check is valid for 2 years. Clubs have a ‘bill to club” option through Player’s Health. Please check with your club leadership to see if this is an option for you.
WYSA is excited to announce a new partnership with Players Health, a risk management services firm specializing in youth sports organizations. Player’s Health is built for managing background checks, protecting athletes, and protecting organizations by thoroughly investigating all screening subjects through a variety of databases and search parameters. Player’s Health has integrated with the U.S. Center for SafeSport to ensure all coaches and staff members have completed the proper screenings to be compliant with WYSA standards.
- A WYSA State Issued Pass Card will not be issued to an applicant without verification of SafeSport completion
- SafeSport certification or refresher must be completed annually

STATE ISSUED PASS CARDS
Effective March 2023
WYSA will no longer be printing pass cards*. Members can get an electronic pass card through Demosphere. Please note, a photo upload in your Demosphere profile is required to allow download. Contact your club administrator for support. Digital Staff ID Guide.
WisRef has been advised, documentation published on Game Officials, and communicated to referees indicating that all games should be played, with or without the presence of a State Issued Pass Card (digital or physical).
Applicants need to submit a photo in Demosphere at the time of registration or a pass cannot be issued. Once all the risk requirements are completed, and a photo uploaded, the digital download will become available. Click here for upload instructions.
Because Risk Management and Coach Licenses are managed in two separate databases (we are required to use US Soccer’s Digital Coaching Center), we no longer print license levels on State Issued Pass Cards. The State Issued Pass Card is intended to signify an approved background check and serves as that individual’s membership with WYSA.
*If a league or event requires a printed, state issued pass card, please contact Katie Schauer.
